Purpose:

To prepare and submit a complete list of game components and specifications so that AEG can request accurate manufacturing quotes from printing partners.

What this means:

The RFQ (Request for Quote) document is a standardized spreadsheet that details every component planned for a game. It is used by Production to obtain pricing and production timelines from manufacturers. Developers play a key role in filling out this spreadsheet with accurate, game-specific information.

RACI Roles Defined:
  • Accountable The Production team is accountable for requesting and then managing the RFQ process and submitting it to printers.
  • Responsible Developers are responsible for providing the detailed component list for their game using the RFQ template.
  • Consulted Production, Marketing, and Art Direction may be consulted to clarify materials, formats, or common configurations.
Key Guidance:
  • At 12 week progress meetings the production team will check to see if developers are ready for an RFQ. When the answer is Yes the developer will provide one during the next window of work.  
  • The RFQ template includes most standard component types (cards, boards, tokens, box, insert, etc.).
  • Developers should add rows or notes to reflect any non-standard or custom components required for their game.
  • Include estimated quantities, sizes, finishes, and any known special instructions.
  • This document evolves as the game nears final configuration—updates are expected.
Action Items:
  • Duplicate RFQ template from Production.
  • Fill in all relevant component rows for your game.
  • Add new components as needed to reflect your full vision.
  • Return the completed document to Production for quoting.
  • Review and revise with Production once quotes are returned.
